Introduction

Thank you for visiting our website. This policy explains how we use the personal data that you provide us with or we collect from you. It also explains the ways in which we use and disclose that information. We take your privacy very seriously, and we never sell personal information. By making a booking or contacting us via our website, you agree to the transfer, storing and processing of your personal data as set out below. As a guiding organisation, we require these details in order to fulfil our contract with you.

The information we collect

If you sign up to receive occasional emails or e-newsletters, we ask for your name and email address, and ask you to “opt-in” to receive these.


If you complete a contact form, we ask you for your name, email address and phone number, and to provide a message.


If you wish to book on one of our scheduled walks, you will be redirected to PayPal for finalising your payment.


Our booking form can be downloaded as a PDF or Word document. If you complete a booking form, we ask you for the following personal information: name; email address; address; phone number; age; relevant experience and fitness; medical conditions; and emergency contact details. We also ask you about how you heard about us. To complete the booking process, you need to complete this form and return it to us by email. We then store that information on our secure computer. 

How we use your information

The information we collect from you will be used in one of the following ways:   


To process transactions to organise and deliver your booking, including information and updates. Your information, whether public or private, will not be sold, exchanged, transferred, or given to any other company for any reason whatsoever, without your consent, other than for the express purpose of delivering the purchased product or service requested. 


To send you occasional emails and e-newsletters about Perthshire Treks and our services, but only if you have “opted-in” (subscribed) to our mailing list. You can unsubscribe from our mailing list at any time by clicking the “unsubscribe” link in any email or e-newsletter that we send you or by contacting us at info@perthshiretreks.scot.


To help assess the performance of our website and to improve its effectiveness, we make use of Google Analytics (see section on cookies below). 

 

To help inform our risk assessments, insurance and health & safety actions. 

Accessing your information

You have the right to check that your personal data is being processed lawfully. This access right can be exercised in accordance with the GDPR 2018 Regulation. Any subject access request must be made in writing to info@perthshiretreks.scot If you would like changes made to your data, such as a change of name or contact details, please email us at info@perthshiretreks.scot.

Retention

We will retain your personal information for as long as necessary to provide our services, and as necessary to comply with our legal obligations, resolve disputes, and enforce our policies. Retention periods will be determined taking into account the type of information that is collected and the purpose for which it is collected, bearing in mind the requirements applicable to the situation and the need to destroy outdated, unused information at the earliest reasonable time.

We make use of Google Analytics to help assess the performance of our website (e.g. which pages are visited, for how long, the number and location of users). To do this, it makes use of cookies – small text files that are placed on your machine to help provide anonymised tracking data. Our intention is to improve our website and to make your browsing experience better.

Data security

Once we have received your information, we will take all reasonable steps to keep your personal data secure and do our utmost to prevent unauthorised access to it. All information you provide is stored securely. We do not hold any credit card details as all card payments are completed through PayPal’s payment gateway. Transfer of data outside the EEA
